AudienceView Deployment Services Page v2.0

The AudienceView Deployment Services comprise the following committed professional services effort to get your AudienceView system live.

1. Getting started (and all project initiation activities)

  • Your project manager will host an initial meeting to confirm your short, medium and long term business goals and desired outcomes.
  • Your project manager will host the kick-off meeting. This meeting will be carried out via conference call.
  • Roles and responsibilities of the project teams, scope, timelines, communication protocols, status reporting protocols, change request protocols and escalation avenues will be clarified and confirmed in preparation for the AudienceView Deployment Services.

2. Getting ready for AudienceView Deployment Services (Readiness Checklist)

Your AudienceView project team will work with you to ensure that the necessary preparations for the AudienceView Deployment Services are ready.

AudienceView responsibilities are:

  • Provisioning of your Production AudienceView environment.
  • Provisioning of a Staging / Sandbox environment.
  • Provisioning of a Data Migration Test environment, specifically for data migration purposes (if any) for the duration of the Deployment Services

Your responsibilities (and any associated costs) are:

  • Provisioning of an SSL certificate for the site.
  • Provisioning of Stimare or BOCA (ticket) printers for configuration.
  • Provisioning of payment gateway / payment processor (merchant IDs and / or terminal IDs) and / or pinpads and / or magnetic stripe readers for configuration.
  • Provisioning of scanners for configuration.
  • Provisioning of venue images per specifications.
  • Provisioning of current or desired seat manifest information, and other ticketing operations artifacts such as pricing, delivery and payment information.
  • Compliance confirmation of your users’ desktop machines with AudienceView Subscription Services.
  • Compliance confirmation of your existing printers with AudienceView Subscription Services.
  • Preparation of your organization policies, procedures and practices documentation, to be shared with the project teams.

3. Getting trained

Your AudienceView project team will provide training to your designated System Administrator(s) for the following functions within the application:

4. Getting your AudienceView system configured.

Your AudienceView project team will provide configuration support as you configure the system for your Go-Live.

 

5. Getting data migrated from your legacy system

AudienceView can import the following data:

Patron (customer) accountsThe migration of up to 500,000 patron (customer) accounts.

Single primary contact information including first/middle/last name, email address, 4 phone numbers; single primary address information including street, city, state/province/county, country, zip/post/postal code, marketing preferences.
Historic / live donation dataThe migration of up to 500,000 donation records.

Live donation is defined as all donation data in the current fiscal year. Historical donation is defined as all donation data in previous fiscal years.

Live donation data: AudienceView will migrate into an appeal and fund name, with corresponding donation amount, pledge date, renewal date.

Historical donation data: AudienceView can migrate into an appeal and fund name, with corresponding donation amount. Alternatively, AudienceView can migrate into a simplified yearly donation amount.
Historic / live admissions for single tickets and/or subscriptionsLive admissions is defined as admission data for events occurring after Go-Live date, including event name, seat location, price type, amount. Historical admissions is defined as admission data for events occurring before the Go-Live date, including event name, seat location, price type, amount.

Live single ticket admission: The migration of all live single ticket admissions.

Historical single ticket admission: The migration of 3 years’ worth of historical data, or up to 500,000 historic single ticket admissions, whichever is lower.

Live subscriptions: The migration of all live subscriptions. These can be migrated either as an AudienceView subscription bundle, or alternatively as single admissions.

Historical subscription: The migration of up to 5 years’ worth of historical subscriptions, or up to 500,000 historic subscription admissions, whichever is lower. Note that these will be migrated in as single admissions.

Your AudienceView project team will work with you to determine the configuration for the data in the system and will then provide a schema to you to use as a guide as you prepare your data for import.

Your responsibilities (and any associated costs) are:

  • Ensuring that the data provided to AudienceView conforms to the data schema as outlined by the AudienceView project team.
  • Ensuring a high level of data integrity in the data provided (no duplicate records, broken or missing links). Note that the quality and level of data integrity has to be acceptable to you and your organization.
  • Ensuring completeness of the build out of the supporting configuration in the AudienceView system.
  • Timely review and validation of the imported data once loaded into the AudienceView system.
  • Timely provisioning of adjusted data file and / or configuration (as required) upon discovering any discrepancy in the data migration.

6. Getting your website ready

Your AudienceView project team will work with you to brand your website.

Your responsibilities (and any associated costs) are:

  • Provisioning of the website branding artifacts and related style guide information.

AudienceView responsibilities are:

  • Creation of your branded website (header, footer, availability icons, default search results images, body background images) and associated style sheet (text properties, menu and button colours).
  • Usability of the website design on browsers and mobile devices supported by the AudienceView Subscription Services.

7. Getting Go-Live ready (Operational Verification)

Your AudienceView project team will work with you to run through the process of verifying that the AudienceView Subscription Services is ready for Go-Live and your subsequent business operations.

You will be introduced to the AudienceView Support Team in preparation for a transition to Support upon Go-Live.

8. Launching into AudienceView operations (Go-Live)

Your AudienceView project team will work with you to launch you into live sales with the AudienceView Subscription Services.

You will be transitioned to the AudienceView Support Team and this meeting will be carried out via conference call.

9. Closing the deployment phase (Project Closure)

Your AudienceView Customer Success Manager and AudienceView Project Manager will review the outcomes of the Deployment Services with you, to validate that the project success criteria have been met.

Future next steps as you move into your first year on the AudienceView system will be reviewed, and your short, medium and long term business goals and objectives will also be re-assessed at this time.
